Job Description:

Quickly, efficiently & professionally provide a wide range of facilities-coordination & maintenance-related services to internal clients; floor managers & their teams.

Essential Job Functions:
  • Schedule, negotiate & co-ordinate small scale construction jobs on Servcorp’s floors
  • Logging & regular reporting on project status
  • Communication with outside vendors
  • Organize/Apply for required building permits for construction, deliveries, etc
  • Communicate politely and professionally; providing full information to stakeholders
  • Liaise with importing agents and co-ordinate the importing and delivery of materials
  • Reporting and advising to management regarding a range of facility & project metrics
  • Pro-actively recommend, negotiate prices for & schedule preventative maintenance of air conditioning and other systems
  • Maintain up-to-date tracking databases using Microsoft Excel & Microsoft Access
  • Schedule & co-ordinate deliveries of furniture and materials between Servcorp’s floors
  • Respond to urgent maintenance calls
  • Assist in arranging the schedules of handymen
  • Assist handymen with their own scheduled tasks, especially during annual leaves
  • Physically and structurally organize Servcorp’s storage facilities
  • Participate in the creation of emergency preparedness plan
  • Process paperwork required for the facilities management /maintenance section
  • Assist others in an administrative assistant capacity
Required Skills:
  • Workplace fluency in English and Japanese
  • Willingness to learn further administrative, project management & construction oversight skills
  • Team player and ability to suggest improvements on a constant basis
  • Ability to use/learn basics of Microsoft Excel &/or other Microsoft Office software
  • Excellent time management skills
  • Ability to work unsupervised updating multiple groups of work progress & schedules
  • High attention to detail
  • Verbal communication skills
  • Professional presentation and attire

Salary: Annual salary from 4.0M, Pay raise.
Work Hours: 8:30 ~ 17:30
